- Payment information: billing details as required to process payments; we do not store full card numbers
- Communication records: notes from in-person, telephone and email interactions
- Website usage data: IP address, browser type, pages visited and session duration, collected via cookies and analytics tools
We collect only the information we need. We will not ask for information that is unnecessary for the provision of our services.
How we collect it
We collect personal information in the following ways:
- Directly from you when you make a booking enquiry, complete our online contact or booking form, visit our showroom, or speak with us by telephone
- Through fitting records created during your appointment
- Through payment processing at the time of hire or purchase
- Automatically through our website, using cookies and third-party analytics tools (see Section 8)
- From third parties, such as a wedding planner or event coordinator who makes a group booking enquiry on your behalf — in this case, we will handle your information in accordance with this policy
Why we collect it
We use your personal information to:
- Process and confirm booking requests and appointments
- Carry out fittings and alterations accurately
- Process payments and issue receipts
- Contact you regarding your booking — including reminders, collection details, and return instructions
- Manage hire agreements, returns and any damage or loss claims
- Retain fitting records for future hire engagements, where you consent to this
- Respond to enquiries and provide customer service
- Comply with our legal obligations
- Improve our services and website through analytics
We will not use your information for direct marketing without your explicit consent. If you agree to receive occasional communications from us, you may opt out at any time by contacting us at info@matsuithire.com.au.
Disclosure of your information

We retain your personal information for as long as necessary to provide our services and to comply with our legal obligations. Fitting records may be retained for up to five years to assist with future hire engagements. After this period, records are securely destroyed.
While we take all reasonable steps to protect your information, no method of transmission or storage is completely secure. We cannot guarantee absolute security.
Access, correction and complaints
You have the right to request access to the personal information we hold about you, and to request that any inaccurate information be corrected. To make such a request, please contact us using the details in Section 9.
We will respond to access and correction requests within a reasonable time, generally within 30 days. In some cases, we may be unable to provide access — for example, where doing so would affect the privacy of another individual or where a legal exception applies. We will advise you if this is the case.
If you believe we have breached the Australian Privacy Principles and you wish to make a complaint, please contact us in the first instance. We will investigate the complaint and respond within 30 days.
